Time and Project Management
This group of modules manages and automates the activities of the company's core business processes. From manufacturing and service delivery to the overseeing of outsourced contracts, these modules are concerned with productivity, efficiency and the optimization of resources.
Module Families :
This module family consists of an Email / Memo / SMS client, a shareable calendar / task manager for individual staff members, a multi-level communications search facility. Collectively, these modules perform Knowledge Management and Document Management functions. Users can access a centralised repository of all internal or external company communications. The 'In-box' Tasks
and appointments are categorised according to priority and time sensitivity. Reminders are scheduled according to project or production time frames. All time sensitive tasks are listed on the right side of
the screen (e.g. appointments or deadlines), while more general tasks are listed on the left of the screen. As well as showing tasks and appointments, this module shows the user an integrated list of all
communication formats: emails, memos, SMS and phone calls. Aided by a colour coding system, all communication channels are harmonized.
Communications and Appointments
This module allows the user to create appointments, memos, SMS and emails, and, if permitted, to create appointments for other staff members or groups. All communications and attached documents are automatically and permanently recorded i n the company’s knowledge base
- if the intranet is hosted through Spaceacre, complete backups are made on a nightly basis; Communication and Document Search Three versions of this module offer three separate levels of access:
Level 1 Search - This enables a single user to search for all communications and documents that he or she has sent or received;
Level 2 Search - Allows authorised users to search for all communications and documents sent or received, except for those which are specifically marked ‘confidential’ by the sender;
Level 3 Search - Allows highly authorised users (e.g. CEO of a company) to search for all communications and documents sent and received, including those which are confidential.
2 - Project Management
The modules in this family initiate , describe and share all information relating to current and past company projects. The modules include single-click links to all customers and staff connected to specific projects. Deadlines can be emphasised and projects prioritised according to importance. The project management system creates a thread connecting all documents and communications relevant to particular projects. Some examples of the modules in this family are:
Manage Current Projects
This module brings up a chart, similar to a bulletin board, where all current projects are displayed accompanied by a short description. The current status of any project can be accessed immediately.
Instructions, comments, and suggestions on any aspect of any project are made and seen instantly. This cuts down on the need for time consuming meetings and/or telephone calls . It ensures that all staff connected to a specific project are kept up to speed. One click on the ' History ' of the project reveals all communications and documents associated with that project. Begin new Project This is the manual launching point for the creation of a new project. A user can launch a new project by selecting the customer name from an alphabetical drop-down list, entering a short project description and selecting a project deadline. Projects identified i n the “S” phase of the cycle (Potential Projects) can be transferred instantly to 'current project' status, thus bypassing the manual project launcher.
3 - Stock and Inventory
The
modules in this family create and control stock /inventories. When a
product is added to the company's website, it can automatically be
added to the company inventory. Examples of modules in this family:
Website - Stock Control Integrator
When a new product becomes available for distribution, it can be added
simultaneously to both company inventory and website. Items which are
out of stock can be automatically shown as such on the website. Orders
made through the website are immediately reduced in the stock database.
Stock History Search All changes in stock levels are accumulatively
recorded.
